Overview

EVN GenCo3 (Power Generation Corporation 3) is one of Vietnam’s key energy providers, operating power plants that supply electricity to the entire Southern region. With its critical mission of ensuring power stability for millions of households and businesses, operational efficiency—particularly in logistics and inventory—is paramount.

However, for many years, warehouse and inventory data at EVN GenCo3 were managed largely through manual processes. As operations scaled up, the volume and complexity of material entry and inventory forms began to overwhelm the existing workforce, resulting in costly delays, errors, and increasing staff turnover. That’s when EVN GenCo3 turned to Innomation for a scalable, intelligent solution—robotic process automation (RPA).

The Challenge: Manual Effort No Longer Scales

EVN GenCo3’s warehouse operations involved processing material entry forms that could contain up to 1,000 lines per document. Each line includes item codes, quantities, locations, batch numbers, and more—data that had to be entered manually into their Oracle ERP system.

On average, processing a single document required up to 8 hours of work per person. Across the year, this added up to an astonishing 120,000 hours of labor spent purely on repetitive data entry. Even worse, the manual process introduced frequent human errors, leading to inaccurate stock levels and delays in the supply chain.

RPA Integrated with Oracle ERP and WMS

After a thorough process assessment, Innomation proposed and deployed a tailored automation solution built on RPA (Robotic Process Automation) combined with OCR (Optical Character Recognition). The implementation, completed in just three months, featured three key components:

1. Automated data extraction from forms (searchable PDF/images): Using OCR, the system accurately recognized and extracted data fields from scanned material forms, including those with unstructured or inconsistent formats.

2. Seamless data entry into Oracle ERP: RPA bots were trained to input data into the ERP system following strict business rules—handling even exception cases with minimal human intervention.

3. Real-time integration with the Warehouse Management System (WMS): Once entered, inventory data was synced instantly via API to WMS, ensuring real-time visibility into stock levels across the entire operation.
